The agents who stay on top of a pipeline almost all do the same thing: the same blocks at the same time every day, rather than reacting to whatever arrived most recently. What follows is that shape, not a rule — but the ordering is deliberate and worth keeping even if the times move.

A workable routine

  1. Start on the schedule, not the inbox

    Showings and appointments are fixed; email expands to fill whatever you give it. Look at what is immovable first.

  2. Clear new and uncontacted leads before anything else

    This is the one block that is genuinely time-critical — see the note on speed in the leads guide. Everything below still works if it slips an hour; this does not.

    A promised callback you missed costs more than a new lead you answered an hour late.

  4. Advance anything on the pipeline that actually changed

    Not every card, every day. Only the ones where something happened.
